Auto-indexing with Multiple Exhibits

Last time, I went over how to do basic auto-indexing.  For this post, I will explain how to encode multiple exhibits in the same parenthetical.  Next time, I will show you how to create your own Index Template and/or how to modify an existing one.

Two Exhibits

For two exhibits, creating the parenthetical with the proper coding is relatively simple:

  1. Include your exhibit marking parenthetical in the file.
  2. Fill in the information for the first exhibit to be indexed in the parenthetical.
  3. Add the word “and” and the next exhibit number to the parenthetical in the appropriate place (after you’ve included the parenthetical in your file).
  4. Add an S to the word “Exhibit.”
  5. Highlight the second exhibit number (or the last one for three or more exhibits), and add your Index Header On code (F4+Shift+J+B).
  6. Click anywhere after the second exhibit number and create Hidden Text (Alt+E+I+H).
  7. Inside the Hidden Text popup, create an Index On B code (F4+Shift+I+B).
  8. Type the description of the second exhibit.
  9. Insert an Index Off B code (F4+I+B).
  10. Press Enter.

Your parenthetical should look like this (with variation according to your/your agency’s/juristiction’s/etc. preferences):

Three or More Exhibits

For three or more exhibits, you do the same thing as for two exhibits, but with a modified Step 2. As you’ll see below, you also skip Step 3 above.

Multiple Exhibits Step 2:

a. Fill in the information for the first exhibit to be indexed in the parenthetical.
b. While still inside the Hidden Text popup, create another Index Header On B code.
c. Type the number of the next exhibit.
d. Create another Index Header Off B code.
e. Create another Index On B code.
f. Type in the description for the next exhibit.
g. Create another Index Off B code.
h. Repeat sub-steps b-g until you have coded all but the last exhibit for this parenthetical.
i. Press Enter.
j. Type the word “through” and the last exhibit number for this parenthetical after the hidden text for the first exhibit number.
k. Resume the instructions for Two Exhibits at Step 4, above.
